Description:
We are currently looking for a modern apprentice to be based within the Department of Design, Manufacture & Engineering Management (DMEM). The post holder will report to the Department Administrator and will provide clerical and administrative support to the Department across a broad range of support activities that underpin the general operation of the Department.
The postholder will be required to communicate with an extremely wide cross-section of stakeholders, both within and outside the University and at all levels. A pleasant, helpful manner as well as a presentable demeanour will, therefore, be essential.
Responsibilities/Duties:
• Sort and distribute incoming mail.
• Provide a counter service in dealing with and answering queries from a wide variety of visitors to the
Departmental Office – students, departmental colleagues, other University staff and external visitors.
• Photocopying of undergraduate applications to the Department.
• Processing of purchasing orders and invoices, including the University’s online PECOS ordering system.
• Stationery monitoring and ordering.
• Departmental room bookings.
• Assist the Departmental Administrator and other secretarial colleagues with various tasks relating to the
administration of undergraduate and postgraduate courses.
• Carry out general administrative duties which maintain the smooth running of the Departmental Office and
supports colleagues in delivering service standards, which will involve the use of Word, Excel, Access and
Outlook.
• Deal with telephone enquiries.
Training:
Modern Apprenticeships are aimed at young people and school leavers and offer the highest standard of training in any chosen vocation. The Modern Apprenticeships delivered by the Organisational and Staff Development Unit at the University of Strathclyde are fixed term, employed positions and consist of a placement within the University, in this case lasting two years. During this period, Apprentices work in a University Department gaining work experience and a vocational qualification in their relevant area. Upon completion of the Apprenticeship, young people are equipped to progress within the University or to a career in their chosen field out with the University.
Entry Requirements:
You should have a minimum of 4 Standard Grades at 1,2 or 3 which must include English and Math and Administration or Computing, and be willing to take on tasks as directed, as well as have the ability to use your own initiative.
We are looking for a confident, presentable individual with a pleasant and helpful manner. You should be comfortable working within a busy environment and you should be IT literate and competent with Microsoft Office packages. You should be willing to take on tasks as directed and have an attention to detail.
